MODERN SLAVERY AND HUMAN TRAFFICKING STATEMENT

 

Minds in Session is committed to acting with integrity, responsibility, and care in all our operations. Our work is grounded in a deep understanding of human dignity and the psychological conditions that allow individuals and organisations to thrive. Modern slavery and human trafficking violate these principles profoundly. We take a zero-tolerance approach to all forms of exploitation and are committed to ensuring that our business and supply chains remain free from practices that cause harm or compromise the rights of individuals.

YOUR ORGANISATION

Minds in Session is a UK-based psychological consultancy providing clinical services, neurodevelopmental assessment and treatment, leadership development, organisational wellbeing, and advisory support to public, private, and philanthropic partners. We operate across the United Kingdom and internationally. Our work requires high levels of trust, ethical conduct, safeguarding, and regulatory compliance. We hold ourselves to the same standards across our internal operations, external partnerships, and extended supply chain.

OUR COMMITMENT

We are committed to compliance with the Modern Slavery Act 2015 and to maintaining systems that prevent slavery, servitude, forced labour, and human trafficking in every part of our practice. This commitment applies to all Minds in Session staff, associates, contractors, and suppliers.

OUR SUPPLY CHAIN

Our supply chain model is low-risk but not risk-free. It includes:

  • Independent psychologists, psychiatrists, specialist teachers, and coaches engaged under contract

  • Administrative and operational services

  • Technology providers supporting clinical platforms, data processing, and secure communication

  • Professional service providers, such as legal, consultancy, and design partners

We review the operational context of each supplier to ensure they meet our expected ethical and legal standards.

POLICIES AND GOVERNANCE

We have internal policies and systems that support our commitment to preventing modern slavery, including:

  • Ethical Recruitment Policy and rigorous right-to-work checks

  • Safeguarding and Clinical Governance Framework

  • Whistleblowing Policy enabling staff and contractors to raise concerns confidentially

  • Data protection, confidentiality, and information governance procedures aligned with NHS and CQC standards

  • Due diligence processes for onboarding new suppliers and contractors

Our leadership team has oversight for ensuring these measures are implemented consistently.

RISK ASSESSMENT AND DUE DILIGENCE

We conduct proportionate due diligence for all new suppliers and contractors. This includes verifying identity, qualifications, working conditions, and contract terms. Where suppliers operate internationally, we review their own modern slavery policies and request documented evidence of ethical labour practices.

TRAINING AND AWARENESS

Given our role as psychologists and behavioural specialists, we recognise the importance of awareness, early detection, and clear reporting pathways. Our staff and associates receive training on safeguarding, professional ethics, and the recognition of coercion and exploitation, with escalation routes clearly defined.

REPORTING CONCERNS

Any concerns related to possible modern slavery within Minds in Session or our supply chain can be raised through our safeguarding lead, clinical governance lead, or via our confidential reporting system. All concerns are taken seriously and investigated promptly.

CONTINUOUS IMPROVEMENT

We will continue strengthening our processes, reviewing supplier compliance, and updating internal policies to reflect emerging risks, new legislation, and best practices. Minds in Session intends to expand our auditing procedures as our organisation grows and as our supply chain becomes more complex.

CARBON REDUCTION PLAN

COMMITMENT TO NET ZERO

Minds in Session is committed to achieving Net Zero greenhouse gas emissions by 2050.

Our work sits at the intersection of human development, leadership, and systems. We recognise that environmental responsibility is not separate from this work. It is part of how responsible systems are designed, sustained, and led.

Our approach to carbon reduction is therefore deliberate. It is built into how we structure services, deploy our workforce, and design delivery models that are efficient, low-impact, and scalable.

This Carbon Reduction Plan has been developed in accordance with PPN 06/21 and NHS Net Zero procurement requirements. It reflects both our current position and our forward trajectory.

Minds in Session operates as a digital-first organisation with minimal direct emissions. Assessment in process

REDUCTION TRAJECTORY

Minds in Session will continue to reduce emissions through structured, measurable action:

• 20% reduction by 2027
• 40% reduction by 2030
• Net Zero by 2050

These targets will be refined as measurement accuracy increases and operational scale evolves.

OPERATIONAL IMPACT IN CONTRACT DELIVERY

Carbon reduction within Minds in Session is not an abstract commitment. It is a function of how the service operates.

 

  1.    Low-Carbon Service Design

Clinical work is delivered primarily through secure digital environments. In-person delivery is used where clinically necessary, not as default. This reduces travel across both patients and clinicians.

 

  2.   Digital Infrastructure

All clinical activity is delivered through secure systems, including Halaxy. Records, communication, consent, and reporting are fully digital. This removes reliance on paper and physical resource use.

  3.   Workforce Model

The organisation operates through a hybrid, distributed workforce. This reduces commuting and allows services to be delivered without unnecessary geographic movement.

​

  4.   Integrated Pathways

Assessment and treatment pathways are structured to avoid duplication. Clear diagnostic processes reduce repeated data collection and fragmented service use.

  5.   Supply Chain Approach

Collaboration is primarily digital. Where suppliers are engaged, low-impact and service-aligned partners are prioritised.

 

Across the service model, this results in an estimated 40–60% reduction in travel-related emissions per patient pathway compared to traditional delivery models.

ENVIRONMENTAL MANAGEMENT IN CONTRACT DELIVERY

For this contract, Minds in Session will apply the following measures:

• Deliver the majority of services remotely where clinically appropriate
• Minimise travel through structured scheduling and geographic alignment
• Use secure digital systems for all documentation, communication, and reporting
• Maintain a paperless operational model
• Monitor delivery patterns to identify further opportunities for reduction

These measures are embedded within service design and do not rely on behavioural change alone.

MEASUREMENT AND CONTINUOUS IMPROVEMENT

We will maintain a data-led approach to carbon reduction.

• Emissions are reviewed annually
• Scope 3 measurement will be refined over time
• Operational delivery is reviewed to identify reduction opportunities
• Sustainability is considered within strategic and operational decisions

GOVERNANCE

Responsibility for carbon reduction sits at senior leadership level.

The Carbon Reduction Plan is reviewed annually and forms part of broader organisational governance.

 

DECLARATION

This Carbon Reduction Plan has been prepared in accordance with PPN 06/21 and NHS guidance.

The plan reflects current organisational practice and will be updated annually.
